Program Administrator

Position Overview

This position will administer all United Way Programs, including Families First, Kidz Closet, Backpack Program, Larimore Food Pantry, Families First Food Pantry, Summer Meals, and Winter Wishlist programs of United Way. This position includes high attention to detail while working in a fast-paced environment and the ability to exercise discretion with sensitive information.

Key Responsibilities/Essential Functions

Administration

  • Answer and direct phone calls
  • Organize and schedule meetings
  • Maintain filing system
  • Provide general support and create a welcoming atmosphere for all visitors
  • Maintain polite and professional communication via phone, e-mail, mail, and in-person
  • Ensure all volunteers have immediate access to the tools to efficiently and safely complete their tasks
  • Plan and Conduct Volunteer Orientations and Tourstasks

Requirements

  • Two years of related work experience is preferred
  • Must have a high level of interpersonal skills to handle sensitive and confidential situations
  • Maintain a high level of integrity and confidentiality of all program participants, documents, and records
  • Must be able to interact and communicate with individuals at all levels of the organization
  • Must be able to use a computer and various office programs efficiently
  • Knowledge of equipment, materials, and methods used in the job duties
  • Must be able to take initiative and work independently under minimal supervision
  • Fluent in the English language, both oral and written, including correct punctuation, spelling and grammatical usage

Program Coordinator

Position Overview

The Program Coordinator provides family-driven case management planning, facilitation, and support to individuals and families through assistance with obtaining and sustaining safe, decent and affordable housing. 

Key Responsibilities/Essential Functions

Case Management 

  • Assist families in emergency situations and provide crisis intervention when necessary 
  • Conduct in-home, emergency shelter, or in-office visits to identify needs and goals for each family 
  • Conduct housing needs assessments in order to identify and address barriers to housing stability 
  • In partnership with clients, develop, review and amend efficient and effective client case plans 
  • Coordinate client referrals, as appropriate, to community resources and to internal resources 
  • Assist clients with state, federal and local assistance applications 
  • Attend and actively participate in interagency staff and multidisciplinary meetings 

Database/ File Maintenance 

  • Maintain appropriate and sufficient documentation to facilitate the delivery of services
  • Accurately record case notes, follow-ups, update case plans and recertify as required
  • Input data in a timely manner (48 hours)
  • Enter North Dakota Continuum of Care (CoC) Program information into the Homeless Management Information System (HMIS) in a timely manner

Legal Aspects 

  • Maintain a high level of integrity and confidentiality of all program participants, documents and records
  • Adhere to NASW Code of Ethics
  • Maintain participant and CoC Program documentation, including all financial and programmatic records, for a period of at least five years
  • Professionals having knowledge of or reasonable cause to suspect that a child is abused or neglected, or has died as a result of abuse or neglect, must notify their supervisor and make a report of the circumstances immediately

Administrative 

  • Collaborate with Director of Family Services to develop policies and procedures for United Way programming 
  • Collaborate with Director of Family Services to evaluate the efficiency of United Way programs 
  • Participate in weekly department meetings
  • Resource awareness and networking – actively participate in a variety of community meetings with key stakeholders and service providers
  • Report required statistics on a regular basis 

Requirements

  • Two years of related work experience preferred 
  • Must be people-oriented and be able to communicate effectively in face-to-face situations.
  • Must have a high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy. 
  • Must be able to interact and communicate with individuals at all levels of the organization.

Director of Family Services 

Full Time - Salary Exempt Range: $50,000 - $65,000

Position Overview

The Director of Family Services provides family-driven case management planning, facilitation, and support to individuals and families through assistance with obtaining and sustaining safe, decent and affordable housing. This position will be responsible for overseeing the Social Services team, Families First Program and assisting with other internal programs. 

Key Responsibilities/Essential Functions

Families First Case Management 

  • Assist families in emergency situations and provide crisis intervention when necessary 
  • Conduct in-home, emergency shelter, or in-office visits to identify needs and goals for each family 
  • Conduct housing needs assessments in order to identify and address barriers to housing stability 
  • In partnership with clients, develop, review and amend efficient and effective client case plans 
  • Coordinate client referrals, as appropriate, to community resources and to internal resources 
  • Assist clients with state, federal and local assistance applications 
  • Attend and actively participate in interagency staff and multidisciplinary meetings 
  • Maintain a high level of integrity and confidentiality of all program participants, documents and records 
  • Maintain a caseload of 7 or less homeless clients 

Street Outreach

  • Work with Greater Grand Forks to provide outreach for mainstream benefit applications 
  • Participate in Client Community Outreach events 
  • Serve as the Agency Lead for CANA/CARES, State of North Dakota COC and Local CoC 
  • Resource awareness and networking – actively participate in a variety of community meetings with key stakeholders, service providers and landlords 

Database/File Maintenance 

  • Ensure data accuracy through various platforms for the department 
  • Maintain appropriate and sufficient documentation to facilitate the delivery of services 
  • Maintain participant and program documentation, including all financial and programmatic records, for a period of at least five years 
  • Input data in a timely manner (48 hours) 
  • Enter North Dakota Continuum of Care (CoC) Program information into the Homeless Management Information System (HMIS)

    ○ Ensure policies are up to date with governing bodies policies (State, Federal and CoC) 
  • Evaluate program effectiveness through measurable outcomes and report on findings
    ○ Report required statistics on a regular basis 
  • Work directly with Assistant Director to maintain the Families First Budget 
  • Oversee Social Services Team
    ○ Plan and lead weekly department meetings 
    ○ Conduct case plan evaluations with Social Services Team 
    ○ Conduct annual performance reviews with Social Services Team 
    ○ Ensure staff are upholding all company policies and other pertinent policies 

Requirements

  • Bachelors is Social Work is required 
  • 5+ years of relevant experience is required.
  • Must have a high level of interpersonal skills to handle sensitive and confidential situations. 
  • Must be able to interact and communicate with individuals at all levels of the organization. 
  • Must possess the ability to maintain effective working relationships with others, including regulatory agencies, departments, and the public. 
  • Must be able to prepare clear, complete and technically accurate reports. 
  • Must have the ability to work independently with minimum supervision. 
  • Must be proficient in using the organization’s management software and Microsoft Office products 

Marketing Coordinator

Position Overview

This is a full-time position that will work under the Marketing Director to plan and assist with effective marketing, special events, and strategic communication to encourage donations and promote positive impressions on behalf of United Way of Grand Forks, East Grand Forks & Area. 

Key Responsibilities/Essential Functions

Marketing

  • Work with Community Outreach team members to develop appropriate marketing strategies, tactics, and best practices to meet strategic goals 
  • Assist with researching new trends, marketing technologies, and target audiences to determine effective marketing strategies and tactics 
  • Assist in developing and documenting marketing campaigns/plans, including goals, strategies/tactics, timeline, budget, and evaluation 
  • Assist the marketing and development team in implementing creative, effective, and efficient campaigns that meet the goals and timelines of the marketing plan 
  • Assist with developing, producing, and distributing traditional and digital communications, including printed publications, direct mail, signage, websites, emails, videos, texting, digital ads, social media, etc.. 
  • Write clear marketing copy to promote our programs/services 
  • Update website content as needed 
  • Served as a project manager and main point of contact for assigned projects 
  • Manage projects from beginning to end 
  • Develop and maintain strong working relationships with external vendors/contractors 
  • Create and manage a content calendar and scheduling deadlines 
  • Ensure consistency throughout projects (style, fonts, images, and tone) 
  • Create and implement an appreciation plan for donors and volunteers
    o Create copy for thank you letters, notes, and call scripts 

Graphic Design

  • Design brochures, signs, annual reports, advertisements, videos, and other communication materials 
  • Create materials by hand or by using technology, including computer software programs
  • Create or incorporate illustrations, pictures, and designs to reflect the desired theme and tone of the communications 
  • Produce drafts for review by executive management and make revisions based on the feedback received 
  • Content Creation – recording videos, donor interviews, etc. 

Social Media

  • Assist with the development, production, and distribution of content on social media channels: Facebook, Twitter, Instagram & LinkedIn
  • Keep up to date with social media best practices and trends and implement them as appropriate 
  • Proactively monitor social media profiles, sometimes outside of regular business hours, to quickly react to social conversations 
  • Assist with reporting for digital social media statistics 

Grants

  • Research, write, and submit grant proposals
  • Follow up on feedback from grants

Development

  • Assist with special events
  • Assist with reporting for Digital Marketing/Social media statistics
  • Assist with monitoring web analytics to improve search engine optimization, navigation, and e-marketing campaigns 


Administrative 

  • Assist with developing and documenting workflow processes and protocols 
  • Participate in department, fundraising, and team meetings 

Requirements

  • Bachelor’s degree in Graphic Design, Marketing, or Communications is preferred; or two or more years of experience or training; or an equivalent combination of education and experience. 
  • Must have a strong knowledge of marketing/development techniques and successful experiences or a similar field of expertise. 
  • Knowledge of current graphic design (and related) software applications, including Adobe's Creative Suite—including Photoshop, Illustrator, InDesign, and others. 
  • Familiarity with Facebook Ads, Google Analytics, and Google Ads. 
  • Must possess the ability to maintain effective working relationships with others, including other agencies, businesses, colleagues, and the public.
  • Must have the ability to work independently with minimum supervision.
  • Must be proficient in using the organization’s management software, Microsoft Office products, telephone system and various audio/visual technologies.
